Who this is about
Remy is a service for independent veterinary clinics. “We” means the company that operates remy.vet. “You” means a clinic that signs up, the people at that clinic who use Remy, and — in a limited sense — the pet owners whose claims we submit on the clinic’s behalf.
What we collect
- Clinic account data. Names, roles, and email addresses of staff who use Remy. Clinic name, address, and billing details.
- Patient and visit records. SOAP notes, diagnoses, CPT codes, invoices, and related records we read from your PIMS in order to draft insurance claims.
- Pet owner information. The owner’s name, address, policy number, and other fields an insurer requires on the claim form. Always drawn from records you already hold.
- Insurer correspondence. Submission receipts, denial letters, appeals, and payout confirmations.
- Operational logs. Timestamps, error reports, and audit trails needed to run the service reliably.
What we use it for
Strictly: submitting claims, tracking them through payout, drafting appeals, and operating the service. Support questions you send us are read by the team that built Remy.
We do not sell clinic, patient, or owner data to anyone. We do not share it with advertisers, pet pharmacy chains, data brokers, or carriers for any purpose beyond the claim in front of us.
Model training
We do not use your clinical notes, invoices, or any patient data to train any general-purpose model — ours or anyone else’s. When we use AI services inside the product, we select providers who contractually commit not to train on submitted content.
Where data lives
Data is stored in the United States with SOC 2-audited infrastructure providers. Access is limited to the operators who need it to run the service, under least-privilege principles and MFA.
Retention
Patient records and invoices are retained only as long as needed to handle appeals — typically 18 months per insurer, longer only if a specific claim remains in appeal. If you end your subscription or pilot, your data is purged within 30 days and we send you written confirmation.
Your choices
You can export your data at any time through the dashboard or by emailing support. You can ask us to delete data about specific clients on request. If the request conflicts with an insurer’s retention requirements for an active claim, we’ll tell you before we act.
Cookies
Our marketing site uses strictly-necessary cookies for session routing. No advertising or third-party analytics cookies. The product dashboard uses session cookies to keep you signed in.
Changes
If we change this policy materially, we’ll email each active clinic at the address on file and post the revised version here with the effective date updated.
